Pipeline Overview

Pipelines represent your sales process. Each pipeline has stages that a lead progresses through, from first contact to won or lost.

What is a Pipeline?โ€‹

A pipeline is a named sequence of stages. For example:

New Lead โ†’ Contacted โ†’ Proposal Sent โ†’ Negotiation โ†’ Won / Lost

You can have multiple pipelines โ€” one per product, service, or market segment.

What is a Stage?โ€‹

A stage is one step in a pipeline. Each stage has:

PropertyDescription
NameThe stage label (e.g. "Proposal Sent")
ColorVisual color for the Kanban column
Win StageToggle โ€” leads in this stage are "won"
Loss StageToggle โ€” leads in this stage are "lost"
Sort OrderPosition in the pipeline (drag to reorder)

Creating a Pipelineโ€‹

  1. Go to Pipeline โ†’ Pipelines in the sidebar.
  2. Click New Pipeline.
  3. Enter a Name and optional Description.
  4. Toggle Default Pipeline if this should be the default for new leads.
  5. In the Stages section, click Add Stage for each stage:
    • Enter stage name
    • Pick a color
    • Toggle "Win Stage" for your success stage(s)
    • Toggle "Loss Stage" for your failure stage(s)
  6. Drag stages to reorder them.
  7. Click Save.

Editing a Pipelineโ€‹

  1. Go to Pipeline โ†’ Pipelines.
  2. Click the edit icon on the pipeline row.
  3. Change the name, description, or stages.
  4. Add, edit, or remove stages.
  5. Click Save.

โš ๏ธ Removing a stage will unset the pipeline stage for all leads currently in that stage. They will remain in the pipeline but without a stage.

Default Pipelineโ€‹

Mark a pipeline as Default to have it pre-selected when creating new leads. Only one pipeline can be the default at a time.

Assigning a Lead to a Pipelineโ€‹

When creating or editing a lead:

  1. Select a Pipeline from the dropdown.
  2. Select a Stage from the dependent dropdown.

The lead will appear on the Kanban board for that pipeline.

Moving Leads Between Stagesโ€‹

You can move leads between stages in two ways:

  • Drag and drop on the Kanban board
  • Edit the lead and change the Stage field

When a lead moves to a Win Stage, its status is set to Converted. When moved to a Loss Stage, its status is set to Lost.

Deleting a Pipelineโ€‹

Open the pipeline, click Delete, and confirm. All leads in that pipeline will have their pipeline association cleared.
