Archiving & Snoozing Emails

Two powerful features to help you manage inbox clutter - archive emails you've handled, and snooze emails you want to deal with later.


Archiving Emailsโ€‹

Archiving helps you keep your inbox clean while preserving important messages. Archived emails are moved to a separate Archive folder but remain accessible and searchable.

Prerequisite

The Archive feature must be enabled in Setup โ†’ Settings โ†’ Mailbox Settings โ†’ Enable Archive Feature.

Archive vs. Deleteโ€‹

How to Archiveโ€‹

Method 1: Single Email

  1. Find the email you want to archive
  2. Click the three-dots menu (โ‹ฏ) on the email row
  3. Select Archive

Method 2: Bulk Archive

  1. Select multiple emails using checkboxes
  2. Click the Actions dropdown menu
  3. Select Archive

Method 3: Keyboard Shortcut

  • Select email(s) and press A key (if keyboard shortcuts are enabled)

Accessing Archived Emailsโ€‹

  1. Navigate to Mailbox โ†’ Emails
  2. In the folder sidebar, click Archive
  3. All archived emails will be displayed

Restoring Archived Emailsโ€‹

  1. Navigate to Archive folder
  2. Find the email you want to restore
  3. Click the three-dots menu (โ‹ฏ)
  4. Select Move to Inbox or Unarchive

Auto-Archive with Rulesโ€‹

You can automatically archive emails using Email Rules:

  1. Go to Mailbox โ†’ Rules
  2. Create a new rule
  3. Set conditions (e.g., "From contains: newsletter@")
  4. Add action: Move to Folder โ†’ Archive
  5. Save the rule

Snoozing Emailsโ€‹

Snoozing allows you to temporarily hide emails from your inbox and have them reappear at a specified time. Perfect for emails that need attention later but aren't urgent now.

Prerequisite

The Snooze feature must be enabled in Setup โ†’ Settings โ†’ Mailbox Settings โ†’ Enable Snooze Feature.

How to Snoozeโ€‹

  1. Find the email you want to snooze
  2. Click the three-dots menu (โ‹ฏ) on the email row
  3. Select Snooze
  4. Choose a snooze duration:

Quick Options:

Custom Date/Time: Click Pick a date & time, select the date and time, then click Snooze.

Viewing Snoozed Emailsโ€‹

  1. Navigate to Mailbox โ†’ Emails
  2. In the folder sidebar, click Snoozed
  3. View all currently snoozed emails with their return times

Managing Snoozed Emailsโ€‹

Remove Snooze (Return to Inbox Now):

  1. Navigate to Snoozed folder
  2. Find the email โ†’ click three-dots menu (โ‹ฏ)
  3. Select Remove Snooze or Return to Inbox

Change Snooze Time:

  1. Navigate to Snoozed folder
  2. Find the email โ†’ click Snooze again
  3. Choose a new time

When Emails Returnโ€‹

  • At the specified date and time
  • When the cron job runs (checks every few minutes)
  • Email appears in inbox as unread (unless it was already read)

  1. Archive regularly - Keep your inbox focused on active items
  2. Be realistic with snooze - Choose times when you'll actually be available
  3. Combine with tags - Tag emails before archiving/snoozing for better context
  4. Use auto-archive rules - Set up rules for newsletters and notifications
  5. Review periodically - Check archived and snoozed folders regularly
