AI Email Composer

What It Doesโ€‹

The AI Email Composer writes a personalized email draft for you, based on the lead's name, company, job title, industry, and the type of email you want to send. You get a complete subject line and email body โ€” ready to review, edit, and send.

Writing personalized emails from scratch takes time. The AI Composer gives you a strong starting point in seconds.

How to Use Itโ€‹

  1. Open any lead's detail page.

  2. Click the "AI Draft Email" button. (If you do not see this button, an OpenAI API key is not configured โ€” see the AI Overview page.)

  3. Select the intent โ€” what kind of email do you want to write?

    IntentWhen to use it
IntroductionFirst contact with a new lead
Follow-UpChecking in after initial contact or a previous email
ProposalSharing a proposal or next steps
Re-EngageBringing a cold lead back into the conversation
ClosingConfirming a deal or asking for a decision
  4. Optionally add a context note โ€” a few words about anything specific you want the email to mention (e.g. "they mentioned they need a solution before end of quarter").

  5. Click Generate.

  6. The AI writes a draft. You see a subject line and a full email body.

  7. Review and edit the draft. The AI is good but not perfect โ€” always read it before sending.

  8. When you are happy with it, send it through your usual email method.

What Makes a Good Draftโ€‹

The AI writes better emails when it has more information about the lead. Before drafting:

  • Make sure the lead's name is filled in
  • Add their company and job title if you know it
  • Fill in their industry if relevant

You can run Lead Enrichment first (see the Enrichment page) to automatically fill in these fields if they are missing.

The more the AI knows about the lead, the more personalized and relevant the email it writes.

Tips for Best Resultsโ€‹

  • Use the context note to give specific details: "They signed up after watching our webinar about inventory management" gives the AI much more to work with than a blank context field.

  • Always edit before sending. The AI does not know everything about your business, your tone, or your specific offer. Treat the draft as a starting point, not a finished product.

  • Try different intents. If the first draft does not quite fit, try a different intent. A "Re-Engage" email often has a different tone to a "Follow-Up" even for the same lead.

  • Keep your lead data up to date. The AI drafts from the lead profile. Stale or missing data produces generic emails.

  • The AI avoids filler phrases. It is instructed to skip things like "I hope this email finds you well" โ€” the drafts are direct and professional by design.
