Usage Guide

This page covers the day-to-day workflow: sending messages, managing templates, building recipient groups, scheduling, and previewing deliveries.

Sending a Notificationโ€‹

  1. Open Custom Email/SMS โ†’ Send a Notification.
  2. Choose recipients โ€” pick contacts manually or select a pre-built recipient group.
  3. Select a template (optional) โ€” auto-fills the subject and body.
  4. Enter subject (email only) and compose your message.
  5. Select the notification type: Email, SMS, or WhatsApp.
  6. Click Send Now or Schedule to send at a later date/time.
tip

You can mix and match โ€” for example, select a group and then manually add or remove individual contacts before sending.

Templatesโ€‹

Templates let you save and reuse message content so you don't have to write from scratch each time.

Creating a Templateโ€‹

  1. Go to Custom Email/SMS โ†’ Templates.
  2. Click New Template.
  3. Enter a name, optional category, subject (for emails), and the message body.
  4. Click Save.

Organising with Categoriesโ€‹

  • Create categories to group related templates (e.g. "Welcome", "Promotions", "Reminders").
  • Filter templates by category when composing a notification.

Recipient Groupsโ€‹

Recipient groups are static lists of customers or leads that you can reuse across multiple campaigns.

Creating a Groupโ€‹

  1. Go to Custom Email/SMS โ†’ Recipient Groups.
  2. Click New Group.
  3. Enter a group name and select the contacts to include.
  4. Click Save.

Using a Groupโ€‹

When sending a notification, choose Select from Group in the recipient picker. All contacts in that group will be added automatically.

Scheduled Messagesโ€‹

Instead of sending immediately, you can schedule messages for a future date and time.

  1. When composing a notification, click Schedule instead of Send Now.
  2. Pick the date and time.
  3. The message appears under Custom Email/SMS โ†’ Scheduled Messages until it is sent.

You can edit, reschedule, or cancel any pending scheduled message from this view.

Delivery Previewโ€‹

Before sending, use the preview feature to check exactly how the message will look:

  • Email โ€” renders the full HTML email in a preview pane.
  • SMS โ€” displays the plain-text message with a real-time character counter showing characters used and number of SMS segments.
  • WhatsApp โ€” shows the message with WhatsApp-style delivery badges.

The SMS character counter helps you stay within carrier limits. Standard SMS segments are 160 characters (GSM-7) or 70 characters (Unicode).
