Usage Guide

This guide covers the day-to-day usage of the Diagramy module, including managing groups, creating diagrams, and using filtering and search features.

Managing Diagram Groupsโ€‹

Groups are the primary way to organize your diagrams within Diagramy. Each diagram belongs to a group, making it easy to categorize and locate diagrams as your library grows.

Creating and Managing Groupsโ€‹

  1. Navigate to Settings โ†’ Diagramy in the admin panel.
  2. Click Add Group to create a new group.
  3. Enter a descriptive group name and save.

You can also create groups on-the-fly during diagram creation by selecting the option to add a new group from the group dropdown.

Use groups to maintain a clear structure as your diagram library grows. For example, create groups for "Sales Process", "Support Workflows", or "Project Plans".

Establish a group naming convention early on. Consistent naming makes it easier for all staff members to find and organize diagrams. Consider prefixing group names with a category label (e.g., "SALES - Lead Qualification", "DEV - Deployment Pipeline").

Creating Diagramsโ€‹

Step-by-Step Diagram Creationโ€‹

  1. Open the Diagramy menu in the left admin sidebar.
  2. Click New Diagram.
  3. Select a group for the diagram (or create a new one).
  4. Use the available drawing and diagramming tools to build your diagram:
    • Drag and drop shapes onto the canvas
    • Connect shapes with lines and arrows
    • Add text labels and annotations
    • Adjust colors, sizes, and styles
  5. Assign staff members who should have access to the diagram.
  6. Click Save to store the diagram.

Remember to assign staff members to your diagrams if you want them to have access. Unassigned diagrams may only be visible to administrators.

Editing Existing Diagramsโ€‹

To edit a diagram that has already been saved:

  1. Navigate to the Diagramy menu.
  2. Locate the diagram using groups, filters, or the search bar.
  3. Click on the diagram to open it in the editor.
  4. Make your changes and click Save.

Diagramy provides several ways to quickly find the diagrams you need:

Filter by Groupโ€‹

Select a group from the group dropdown to display only diagrams within that specific group. This is especially useful when you have many diagrams across multiple categories.

Filter by Staff Memberโ€‹

Select a staff member from the filter options to see only diagrams assigned to that particular person. This helps managers review work or staff members find their own assigned diagrams quickly.

Use the search bar at the top of the diagram list to search by diagram name in real-time. As you type, the list narrows down to show only matching results โ€” no need to press Enter or click a search button.

Combine filters for more precise results. For example, filter by a specific group first, then use the live search within that group to quickly locate a particular diagram.

Best Practicesโ€‹

  • Name diagrams descriptively โ€” Use clear, specific names that describe the diagram's purpose (e.g., "Customer Onboarding Process" rather than "Diagram 1").
  • Assign staff thoughtfully โ€” Only assign staff members who need access to specific diagrams to keep the workspace uncluttered.
  • Review and archive โ€” Periodically review old diagrams and move them to an archive group if they are no longer actively used.
  • Use consistent styling โ€” Adopt a standard color scheme and shape convention across your team for consistent, readable diagrams.
