Payments

The Payments section records all payments made and received by your organization. Manual payments automatically generate a journal entry that debits Cash / Bank and credits Accounts Receivable.

List Viewโ€‹

The Payments table displays all payment records with the following columns:

ColumnDescription
Payment NumberAuto-generated identifier using the configured prefix (default: PAY-).
Payment DateThe date the payment was made or received.
AmountThe payment amount.
Payment MethodHow the payment was made (e.g., Bank Transfer, Cash, Check, Credit Card).
CurrencyThe currency of the payment.
ReferenceOptional external reference number.
NotesAdditional notes about the payment.
StatusCurrent status of the payment (Completed or Pending).
Created AtThe date and time the record was created.

Creating a Paymentโ€‹

Click the Create Payment button to open the creation side panel. The form includes the following fields:

Payment MethodYesSelect the method: Bank Transfer, Cash, Check, or Credit Card.

ReferenceNoAn external reference number (e.g., check number, transaction ID).
NotesNoAny additional notes about the payment.

Automatic Journal Entryโ€‹

When a manual payment is created, the system automatically generates a journal entry that debits Cash / Bank and credits Accounts Receivable. Gateway payments (those processed through a payment provider) are handled separately via the Invoice payment flow rather than the Payment record.

Payment Statusesโ€‹

StatusDescription
CompletedThe payment has been fully processed.
PendingThe payment has been recorded but not yet finalized or confirmed.
