Dashboard & Reporting
The HRM module provides dashboard cards for monitoring key workforce metrics at a glance, and data export capabilities for deeper analysis in external tools like Excel or Google Sheets.
Dashboard Cardsโ
Dashboard cards appear on the main dashboard and give you a quick overview of staffing, leave activity, attendance trends, payroll status, and pending action items. Cards update automatically and can be customized โ you can add, remove, or rearrange them to suit your workflow.
Available Cardsโ
The HRM module includes the following dashboard cards:
Leave Requests by Status
A pie chart showing the distribution of leave requests across statuses โ Pending, Approved, Rejected, and Cancelled. Use this to see how many requests are still waiting for action.
Leave Requests by Type
A bar chart showing the count of leave requests grouped by leave type (e.g., Annual Leave, Sick Leave, Casual Leave). Helps you identify which types of leave are used most frequently.
Pending Leave Requests
A table displaying the 15 most recent pending leave requests. Each row shows:
| Column | Description |
|---|---|
| Employee | The employee who submitted the request |
| Leave Type | The type of leave requested |
| Start Date | When the leave begins |
| End Date | When the leave ends |
| Days | Total number of leave days |
| Requested | When the request was submitted |
This card refreshes automatically when you approve or reject a leave request, so the list stays up to date as you work through the queue.
Attendance Rate by Month
A line chart tracking the attendance rate over time as a percentage. The rate is calculated as the number of present days divided by total working days for each month.
You can switch between three time ranges:
| Range | What It Shows |
|---|---|
| 3 months | Short-term attendance trend |
| 6 months | Medium-term trend (default) |
| 12 months | Full-year attendance trend |
Recent Timesheets
A table displaying the 20 most recent timesheets from the past 7 days. Each row shows:
| Column | Description |
|---|---|
| Employee | The employee who created the timesheet |
| Date | The week date range (e.g., "Feb 17 -- Feb 23, 2026") |
| Total Hours | Total hours logged for the week |
| Status | Draft, Submitted, Approved, or Rejected |
| Created | When the timesheet was created |
Payroll Runs by Status
A pie chart showing the count of payroll runs grouped by status โ Draft, Processing, Completed, Approved, and Paid. Gives you a quick view of where your payroll cycles stand.
This card is only visible to users who have the View Payroll Runs permission.
Payroll Expenses by Month
A line chart showing total net salary expenses over time. The chart sums the net salary from completed, approved, and paid payroll runs for each month.
You can switch between three time ranges:
| Range | What It Shows |
|---|---|
| 3 months | Recent payroll costs (default) |
| 6 months | Half-year trend |
| 12 months | Full-year payroll expense trend |
This card is only visible to users who have the View Payroll Runs permission.
Customizing the Dashboardโ
You can customize which cards appear on your dashboard and how they are arranged:
- Go to the Dashboard.
- Click Customize (or the edit/gear icon).
- Add or remove cards from the available list.
- Drag cards to rearrange their order.
- Save your layout.
Each user can have their own dashboard layout โ changes you make do not affect other users.
Exporting Dataโ
Most HRM resources support exporting records to a file for offline analysis, reporting, or record-keeping.
How to Exportโ
- Navigate to the resource list (e.g., HRM > Employees, HRM > Attendance, etc.).
- Click the Export option from the dropdown menu in the top-right corner.
- Configure the export:
- Format โ Choose CSV, XLS (Excel 97--2003), or XLSX (Excel 2007+).
- Fields โ Select which fields to include in the export. By default, all available fields are selected.
- Click Export to download the file.
The exported file contains the records currently visible in the list, respecting any active filters or views you have applied.
Supported Formatsโ
| Format | Description | Best For |
|---|---|---|
| CSV | Comma-separated values | Universal compatibility, importing into other systems |
| XLS | Excel 97--2003 | Older Excel versions |
| XLSX | Excel 2007+ | Modern Excel with formatting support |
Exportable Resourcesโ
The following HRM resources support data export:
| Resource | Export Permission Required |
|---|---|
| Employees | Export Employees |
| Leave Requests | Export Leave Requests |
| Leave Types | Export Leave Types |
| Attendance | Export Attendance |
| Timesheets | Export Timesheets |
| Payroll Runs | Export Payroll Runs |
| Payroll Entries | Export Payroll Entries |
| Payroll Components | Export Payroll Components |
| Payslips | Export Payslips |
Export permissions are separate from view permissions. A user may be able to view records on screen but cannot export them unless their role includes the corresponding export permission. See Permissions & Roles for details.
Date and Time Handlingโ
Exported date and time fields are adjusted to your user timezone. The timezone is shown in the column header (e.g., "Created At (Asia/Kathmandu)") so you know which timezone the values are in.
Downloading Payslip PDFsโ
In addition to standard data export, individual payslip PDFs can be downloaded directly:
- Navigate to HRM > Payslips.
- Find the payslip you want to download.
- Click the Download action on the payslip row.
- The PDF file opens in a new tab or downloads automatically.
This is separate from the data export feature โ it downloads the formatted payslip document, not a spreadsheet of payslip data.
Tips for Reportingโ
- Use filters before exporting โ Apply status, date range, or other filters on the resource list to export only the records you need.
- Use saved views โ Switch to a pre-built view (e.g., "Approved Requests", "Paid Payroll Runs") before exporting to get a targeted dataset.
- Combine with external tools โ Export to CSV or Excel and use pivot tables, charts, or formulas for custom analysis that goes beyond what the dashboard cards provide.
